There are special documents, strict timelines, armed security, and a whole lot of coordination involved. This guide walks you through exactly what you need to do, step by step, so nothing goes wrong.

The Process
Here's the full journey your shipment takes with BVC, from your door to your booth.
BVC coordinates with organiser before planning shipment cutoffs. You'll be informed of the cutoff dates well in advance — these are the deadlines by which your shipment must be ready.
Pack everything securely — both the inner and outer packaging should be strong. If we find any damaged packaging at pickup, our team will inform you to safely re-pack it to make sure nothing gets damaged in transit. BVC shares packing guide videos for reference.
Register your pickup on BVC Universe or call your sales rep. Your request gets logged in the system and BVC assigns a team — including a gunman, escorter, and loaders — based on your shipment size.
The BVC team comes to you. They collect all documents, like the shipping note, seal the package, and give you an acknowledgment. Status is updated in the system.
Shipments from all hubs within the same city are consolidated at the airport and dispatched to the destination. All shipments are handled under secure, high-value cargo protocols and transported in valuable cargo containers to ensure safety during transit.
The BVC cargo and security team collects everything at the destination airport, scans all shipments, and tallies against the shipping note to confirm everything has arrived safely. Then the cargo moves to the BVC destination hub.
Shipments reach the exhibition city hub 1–2 days before the show. They're loaded, scanned, and driven to the venue. Only official logistics partner vehicles are permitted entry inside the exhibition premises.
Authorised person must come to the BVC vault at the show, sign for the shipment, and we deliver it to your booth. That's it — your jewellery is here, safe and on time.

The Return Journey
Getting your jewellery home is just as important as getting it there. The return process follows the same secure steps.
All you need is a Return Delivery Challan. Everything else follows the same document and process flow as the inbound shipment.
Even if you're a new customer — or if you brought your jewellery by hand and want BVC to handle the return — you can register directly at the BVC vault at the venue via BVC Universe. Generate your shipping note on the spot, hand over your goods, and BVC takes it from there.
If your jewellery needs to go to an international destination, BVC's specialist international team takes over at the hub and handles the export process end-to-end.
