Why This Matters — The Problem Most Exhibitors Don't Solve
Exhibition halls are public venues. When footfall stops and the lights go down, high-value goods left behind in temporary stalls are exposed.
The Overnight Risk
A jewellery exhibitor at a 4-day fair in Bengaluru has crores worth of pieces in their stall on any given day. When the event closes at 9 PM, that stall — a temporary booth with no hardened security — is all that stands between the goods and an empty hall overnight.
Exhibition organizers often don't provide adequate overnight storage. A basic safe, a makeshift lockroom — these are not vaults. And hiring private security to sit in the stall all night is expensive, unreliable, and doesn't give you any paper trail if something goes wrong.
Scenario A — Organizer Provides Storage
Some exhibition organizers — particularly large, established fairs — provide a secure room or vault at the venue. In these cases, BVC uses the organizer's facility.
BVC still manages the full process: collecting goods from each stall, sealing with unique BVC seals, transporting within the venue, handing over to the vault, and returning to each booth the next morning. The exhibitor does not need to be present for any of it.
Scenario B — No On-Site Storage (Most Common)
When the organizer provides no secure storage — which is the majority of cases — BVC removes the goods from the venue entirely.
The consignment is transported under armed guard to the nearest BVC office vault, stored overnight under CCTV surveillance, and brought back to the venue the following morning for delivery to the stall. This is the scenario this use case focuses on.
The Real Scenario
Rajesh runs a mid-sized jewellery house in Zaveri Bazaar, Mumbai. He has been exhibiting at an exhibition in Bengaluru which is for 4 days, good footfall, serious buyers. But the organizer is offering nothing more than a padlocked storeroom for overnight keeping. Rajesh calls BVC before he even sends the advance team.
The Setup
The goods arrive in Bengaluru two days before the fair opens. BVC meets Rajesh's team at the venue during setup and does a full assessment — layout of the stall, weight and volume of the consignment, distance to BVC's nearest office vault, and the number of handoffs that will happen each day of the fair.
The fair has roughly 60 exhibitors. Rajesh isn't the only one who has asked BVC for nightly storage — BVC will be managing overnight custody for multiple other exhibitors across all four nights. A coordinated end-of-day collection route is planned.
Night One — How It Works
As the last visitors leave and exhibitors begin wrapping up, BVC's collection team enters the hall on its scheduled route. Rajesh's team has already packed the jewellery back into the original boxes and is waiting. No goods leave any stall until BVC is present.
Each carton is sealed with BVC's own numbered tamper-evident seals. The seal numbers are recorded against the consignment in BVC's custody log. If a seal is broken at any point before delivery, it is immediately visible and documented.
Rajesh's authorized representative signs the outbound receipt — number of boxes, seal numbers, weight, declared value. From this moment, BVC holds full custody. A copy of the receipt is given to the exhibitor. This is the paper trail that protects both parties.
The sealed boxes are loaded into BVC's secure vehicle by BVC loaders — the exhibitor's team does not handle the goods from this point. Two armed gunmen accompany every vehicle, in addition to the driver and loading staff. The vehicle departs for BVC's Bengaluru office vault — approximately 8 km from the venue.
On arrival at BVC's Bengaluru office, the consignment is logged into the vault register with timestamp, seal numbers, and condition check. CCTV surveillance runs continuously throughout the night. No one enters the vault without authorization. The goods are physically in a hardened vault — not a storeroom, not a locker.
BVC loads the sealed consignment into the vehicle — seals verified intact, logged out of vault register. The vehicle departs for the fair venue. Armed personnel on board, same as the previous evening. Rajesh's advance team is already at the stall setting up.
BVC arrives at Rajesh's stall. Only the authorized receiver — whose identity is on record with BVC — may sign for the delivery. Every seal is checked against the previous night's receipt before the boxes are opened. BVC loaders carry the boxes to the booth. The delivery is logged in BVC's records. By the time the fair opens at 10 AM, everything is back in place.
This cycle repeats every night of the fair — Night 1, Night 2, Night 3. On the final day, the goods go directly into BVC's hands for the outbound shipment back to Mumbai. Rajesh's team never has to worry about what happens at midnight.
