When a customer raises a return, the retailer tells BVC. From that moment, the piece enters our custody. Our local team goes to the pickup point — often the same day — collects the piece, seals it in tamper-evident BVC packaging, and records it against the original invoice. The Transfer Order number becomes the thread that ties every later step to this one pickup.

At every stop after that — the hub, the inspection point, the repair desk, the dispatch desk, the retailer's counter, the customer's hand — the piece is recorded again. How BVC Runs The RMA Loop — From Customer Initiation To Final Resolution.

Customer initiates the return at the retailer

The customer tells the retailer they want to return, exchange or repair a piece. The retailer raises a return request against the original invoice in their system. That's the first record. Nothing moves yet — but the piece already has a paper trail.

Same-day BVC pickup (when needed)

The retailer informs BVC. Our local team is dispatched the same day in service cities. The piece is verified against the retailer's return request and the original invoice, sealed in tamper-evident BVC packaging, and picked up with a signed pickup receipt at the store.

Shipment received at BVC — documents verified

The moment the shipment arrives at our facility, we verify the documents. The packing list, the original invoice and the return request are matched against each other. If anything is off — even by one line — we pause and confirm with the retailer before the piece moves any further.

Each shipment matched with its invoice

Every return shipment is reconciled line-for-line with the invoice it was sold on. No "close enough". If the invoice says one 22k gold ring of a specific weight, that is exactly what must be inside the BVC seal — not something similar, not something that "looks right". This is where most misplacements get caught before they become misplacements.

Assigned a Transfer Order number that travels with the piece

A Transfer Order (TO) number is generated and attached to the piece, the packaging and the digital record. From this point on, every handover, every scan, every movement references the same TO number.

Inspection, repair or resolution

The piece is routed to the correct resolution — repair, re-polish, exchange, or return to the manufacturer. Inspection notes and the final outcome are all logged against the same TO number, so nothing goes missing in translation between the retailer, the workshop and the customer.

Shipment details checked before dispatch

Before the piece leaves BVC again, we run the dispatch check: shipment details are accurately matched against the Transfer Order number and the invoice details. Packing list, seal numbers and insurance declaration — all verified. Only then is the package sealed and handed to transport.

Secure return leg to the retailer

The piece travels back to the retailer under full insurance, armed ground transport where required, and live tracking against the TO number. The retailer sees it coming before it arrives, and the BVC team is on the phone with them through the last leg.

Supervised handover at the retailer's counter

Our local team matches the packing list and the TO number. A proof of delivery is signed at the counter. The retailer now has the piece back — with a complete, documented history of where it has been.

Final resolution to the customer — loop closed

The retailer hands the piece back to the customer — repaired, exchanged, or refunded — and closes the return against the original invoice. The RMA loop is complete. Every step from customer to customer is on record, every shipment is matched to an invoice, every dispatch is tied to a Transfer Order number.
