The Problem
A jewellery manufacturer's private exhibition is one of the most important events of the year. Retail partners fly in from across India. Every retailer is looking at the same collection but each one has a different shop, a different city, and a different customer in mind. They pick, they book, they leave. Now comes the hard part — actually moving the right pieces to the right retailer, without a single mix-up.
A jewellery manufacturer had planned a private exhibition and invited around 20 retailers from across India — Delhi, Mumbai, Chennai, Hyderabad, Kolkata, Bengaluru, Ahmedabad, Surat, Jaipur, Kochi, and more.
The problem was layered. First, the entire exhibition stock had to be moved from the manufacturer's location to the exhibition venue — securely, insured, and on time. Second, during the event, every unsold piece had to be locked away each night in a secure vault on site. Third — and this is the tricky part — whichever retailer booked which piece had to be tracked, tagged and delivered to that retailer's showroom after the exhibition, across many different states in India, each with its own GST and e-way bill requirement.
One mistake anywhere, and you have a wrong piece at the wrong store, or worse, a lost shipment.
So they appointed BVC Logistics.
How BVC Helped
BVC was officially appointed by the manufacturer to handle end-to-end exhibition logistics and vaulting. That meant: moving the stock in, running the vault on-site during the event, tagging every booking to the right retailer, and then dispatching confirmed inventory to each retailer — pan-India — after the event closed.

From the moment the first piece of jewellery left the pickup location, to the moment the last retailer signed a delivery receipt in their store, every movement was handled by BVC. No handing off to third parties. No "we'll coordinate with another logistics company." One chain of custody, start to finish.
That's what made it work. When 20 retailers are booking hundreds of pieces over a few days, we ensured that the same team that brought the stock in also ran the vault, recorded each booking, and owned each dispatch.
How We Ran The Exhibition And Delivered To 20 Retailers Across India.
Manufacturer formally appointed BVC for the full exhibition — transport in, vaulting during, dispatch out. A single SOP was agreed with their team covering security, documentation, booking tracking, and pan-India delivery, so there was no confusion on who does what.
Stock was sealed in tamper-evident BVC packaging, loaded into armed secure vehicles, and moved under full insurance to the exhibition venue. A matching inbound list was signed at the venue before any case was opened.
BVC installed an on-site vault with 24×7 armed supervision. Every evening when the exhibition closed, all stock — sold, booked and unbooked — was checked in against the master list and locked down. Every morning, it was checked out and placed back on display. No piece was ever unaccounted for overnight.
As retailers walked through the exhibition and booked pieces, our team tagged each booked piece against the buying retailer's name, city and GST number. This booking ledger became the single source of truth — “this piece goes to that retailer” — and was reconciled with the manufacturer's sales team at the end of every day.
Once the exhibition closed, we separated the collection into two clean streams: confirmed bookings (to be dispatched to retailers) and unsold stock (to be returned to the manufacturer). Both streams were re-sealed before leaving the venue.
For each retailer — in each different Indian state — we coordinated with the manufacturer's team on the GST invoice (manufacturer to retailer) and received a valid e-way bill for the movement. Different states, different check-posts, different formats. All handled before any consignment left the venue.
Our national network kicked in. Consignments to metros went by air with BVC's armed ground transport at both ends. Consignments to tier-2 cities went by a combination of air plus armed road for the last leg. Every shipment was fully insured, sealed, and tracked from venue to each retailer's showroom.
At each retailer's store, our local BVC team matched shipments to the delivery order from the exhibition. Signatures were collected, proof of delivery was filed, and the retailer received a clean, documented handover.
In parallel with the retailer dispatches, the unsold stock was returned to the manufacturer — sealed and insured in an armed transport. The master list was fully reconciled on arrival, closing the loop on every single piece that had gone to the exhibition.
What BVC Delivers For Manufacturer-To-Retailer Movement
What began as a private exhibition involving retailers across multiple Indian cities became a fully coordinated logistics operation managed end-to-end by BVC. Every piece moved through a controlled chain of custody — from pickup and tagging to vaulting, dispatch, retailer allocation, and final delivery. During the exhibition, BVC maintained the booking ledger, tracked every movement, managed on-site vault operations, and ensured that each retailer received only the inventory booked under their name.
The result was operational accuracy at scale. All 20 invited retailers received their booked inventory correctly, with zero mix-ups between stores, cities, or retailers. Deliveries moved pan-India under insured and documented movement, while the manufacturer's team focused entirely on sales and retailer relationships instead of logistics coordination. After the successful execution of the exhibition, the manufacturer continued using BVC for future exhibitions and retailer dispatches — turning a one-time event into a long-term operational partnership.
