Why Auction Logistics Is Different

Diamond auctions follow fixed schedules, so your shipment must reach safely and on time

Diamond auctions and tenders in India run on strict, immovable schedules. Sellers, buyers, and auction houses coordinate weeks in advance. When a parcel does not arrive on time — or arrives with incomplete paperwork — the consequences go beyond logistics. They affect deals, reputations, and trust.

The challenge is not just moving valuable goods from one place to another. It involves collecting from multiple auction houses across different cities, proper labeling, marking, and routing, maintaining chain-of-custody records at every handover, and delivering everything to the auction venue at precisely the right time, to the right people—with documentation that satisfies both the auction house and Indian customs requirements.

Most logistics companies treat an auction deadline the same way they treat any other delivery window — as a target, not a guarantee. For diamond auctions, that distinction is unacceptable. A parcel that arrives two hours after the auction starts is as good as a parcel that never arrived at all.

"At a diamond auction, every parcel represents a auctioneer's inventory and a buyer's expectation. The logistics provider's job is to make sure nothing stands between the two."

At BVC, we work with auction houses, tender organisers, and diamond sellers to manage the full logistics cycle around auction events. We collect from vendor's location, store in a secure strong room, and deliver to the auction venue with complete documentation—coordinated around the auction timeline, not our convenience.

Approach Comparison

What usually goes wrong — and how BVC does it differently

Auction logistics has specific failure points that standard logistics companies are not built to handle. Here is where problems typically arise — and what BVC does instead.

Meeting the auction deadline

Common Problem

Standard delivery SLAs allow a window of hours. For a 10 AM auction, "delivery by end of day" means nothing. Parcels arrive mid-auction or after it closes. Sellers miss the event entirely.

BVC Way

We work backwards from the auction start time and plan every pickup, storage, and delivery around that fixed point. Our auction deliveries have a confirmed arrival window, not an estimate.

Chain of custody records

Common Problem

A parcel passes through three hands between the seller and the auction house. Each handover is informal — a signature on a generic form, or nothing at all. When a dispute arises about a parcel's condition, there is no usable record.

BVC Way

Every handover is documented with digital signatures, timestamped records, and geo-tagging. When a shipment is handed over to auction management, a complete chain-of-custody document is provided to the authorized receiver. Every transfer is traceable.

Documentation at the auction venue

Common Problem

Parcels arrive but the paperwork is incomplete, mismatched, or missing altogether. The auction house cannot accept parcels without correct documentation. Sellers are turned away or their lots are excluded from the auction catalogue.

BVC Way

We verify every parcel at pickup using a detailed checklist—covering auction house details, number of parcels and customs compliance records—to prevent any delays during transit due to documentation issues.

Last-minute changes on auction day

Common Problem

A seller needs to add a parcel at short notice. The logistics company has no capacity or flexibility. Additionally, they do not have adequate knowledge of customs requirements. The parcel either does not make it or is rushed without proper security protocols, creating a chain-of-custody gap.

BVC Way

We remain on standby throughout auction day for last-minute additions and urgent requests. Our auction support team is always reachable and ready to act quickly—without compromising security or documentation.

How It Works

From seller to auction floor — step by step

Each stage of the auction logistics process has its own requirements. Click each step to understand what happens and why it matters.

Before an auction, shipments need to be collected from the diamond seller along with the required documentation and within defined pickup timelines.

We coordinate with the auction house and the seller, confirm pickup windows, and execute secure collection. Shipments are either transported directly to the auction venue or, if required, stored securely at the nearest BVC strong room. From there, shipments are dispatched to the auction venue in secure vehicles equipped with GPS tracking and armed guards.

What Happens At This Stage

  • Pre-scheduled pickup times for seller
  • Seller identity verification
  • Parcel condition check on collection
  • Collection receipt issued to seller

What BVC Brings

Seven things we do that keep auction day on track

These are the capabilities that keep diamond auctions and tenders in India running on schedule — secure collection, documented custody, and on-time delivery to the auction floor.

01.

Door-to-door secure transport

From every seller's door to the auction floor.

Every movement from seller location to auction venue is handled under strict security protocols from specialised team. Parcels are never left unattended, never handed to an unverified party, and never moved without a recorded custody transfer.

02.

Real-time tracking for all parties

The Seller and auction house can check every shipment's status.

Our team gives both the seller and auction house management updated about every shipment in transit. Just one phone call needed to find out where a shipment is — the information is available instantly.

03.

Documented chain of custody

Every transfer recorded, every handover signed.

From the moment BVC collects a parcel from a seller to the moment it is handed to auction management, every custody transfer is documented with digital signatures, and timestamps. Disputes about condition or handling can be resolved with a complete record.

Indian Regulatory Context

What auction and tender logistics must comply with in India

These requirements apply to diamond auctions and tenders operating in India — whether at Bharat Diamond Bourse, Surat Diamond Bourse, or private tender venues.

GJEPC oversight at trading hubs

Bharat Diamond Bourse (BDB) in Mumbai and Surat Diamond Bourse (SDB) are India's two main diamond trading and auction hubs. Both operate under GJEPC's regulatory framework. Rough diamond parcels entering these venues for auction require valid GJEPC documentation.

Kimberley Process compliance

Any rough diamond parcel included in an Indian auction must have valid Kimberley Process documentation. Parcels without a KP certificate, or with an incorrectly completed certificate, cannot legally be traded. This applies to domestic auctions as well as international tenders.

SNZ rules at BDB and SDB

The Special Notified Zones at Bharat Diamond Bourse and Surat Diamond Bourse operate under specific Customs regulations. Rough diamonds entering the SNZ for trading must be cleared under the correct Customs procedure, with a Bill of Entry filed through ICEGATE.

CBIC December 2024 declaration rules

Since December 2024, Indian Customs requires specific qualifiers — origin, size, shape, type, and colour — for every rough diamond in import and export declarations. Auction parcels being exported after an Indian tender must comply with these requirements at the time of filing.

Insurance and valuation requirements

High-value diamond parcels at auction venues require appropriate insurance coverage. Some auction houses require proof of insurance as a condition of accepting parcels for tender. BVC takes liability of the goods as part of our shipping process.

Chain-of-custody for RJC compliance

Buyers purchasing at Indian diamond auctions — particularly those supplying international jewellery brands — increasingly require RJC (Responsible Jewellery Council) traceability records. A complete chain-of-custody record from seller to auction supports these requirements.
