Understanding Hallmarking Logistics

What Is Jewellery Hallmarking — And Why Does Safe Transport Matter So Much?

In India, hallmarking is not optional anymore. All gold jewellery sold in India must carry a BIS hallmark. That means every piece needs to go to a certified centre to be tested and stamped before it can be sold. Getting the jewellery there — and back — safely is where the logistics work begins.

Hallmarking is the process where a BIS-approved centre tests your jewellery to confirm it is the purity you claim it is — 18K, 22K, 24K, and so on. A small stamp is then placed on each piece to show it has been verified. This stamp is what your customer looks for before they buy.

The problem is that the jewellery has to physically travel to the hallmarking centre. And this is where things can go wrong. The pieces are valuable. They can get mixed up. The count can be wrong. And if the lot is delayed, the whole sale can be held up. Many jewellers use their own staff or basic courier services for this — and then spend days sorting out missing pieces or documentation errors.

BVC takes care of this part. We collect the jewellery from your shop or factory, move it to the hallmarking centre with a proper count and sealed packaging, and deliver it back once it is certified. Everything is tracked and documented throughout.

"A jeweller's most important job is selling beautiful pieces. Our job is making sure those pieces get stamped, certified, and back in their hands without any drama."

Who Needs This

Any jeweller or manufacturerwho sells gold or silver jewellery in India must get it hallmarked. That includes shops, online sellers, wholesalers, and export businesses.

What Moves

Gold, silver, and platinum jewellery — rings, chains, bangles, earrings, necklaces, and more — moves to the centre before sale, and comes back stamped and certified.

What Can Go Wrong

Pieces get mixed up. Counts go wrong. Lots get delayed. Without proper logistics, certification becomes a source of stress instead of a simple step in the process.

Approach Comparison

What Goes Wrong With Basic Transport — And What BVC Does Differently

Sending jewellery to a hallmarking centre is not the same as sending a regular parcel. Here is what often happens without a specialist and how BVC handles it better.

Shipment Count Errors

Common Problem

The jeweller sends 10 parcels. The centre receives 9 or shipper mixes the packages. Nobody verifies shipments properly at pickup. Days are lost trying to find what happened to the missing parcel.

BVC Way

BVC counts and verifies the number of parcels at collection, assigning a unique ID to each parcel to ensure the count leaving the jeweller matches the count received at the centre. All movements are recorded digitally and in writing, ensuring complete traceability and eliminating any risk of shipment mix-ups.

No Proof Of Handover

Common Problem

The lot is dropped off at the centre and someone signs informally. Later, when there is a question about whether a piece arrived, there is no real proof.

BVC Way

Every handover — from jeweller to BVC, from BVC to the centre, and back again — is documented digitally with a signed record so there is always a clear trail.

No Tracking During Transit

Common Problem

The jeweller sends the lot and has no idea where it is. If a customer calls asking about their piece, there is no update to give. Anxiety builds and trust erodes.

BVC Way

BVC uses GPS-enabled, real-time tracking throughout the entire journey. The jeweller always knows where the lot is and can confidently provide customers with accurate, live updates.

Delay In Return Delivery

Common Problem

Once stamped, the jewellery sits at the centre or in uncontrolled storage for days because nobody has planned the return leg of the journey.

BVC Way

BVC plans and manages both forward and return movements with defined timelines, ensuring certified pieces are returned on time. With real-time updates at every stage, jewellers always have full visibility of their shipment.

How It Works

How BVC Moves Jewellery To A Hallmarking Centre And Back

Five simple steps. From the moment BVC picks up your jewellery to the moment it comes back to you stamped and certified.

BVC comes to your shop, showroom, or factory to collect the jewellery. Before anything moves, every parcel is counted, labeled with a unique tracking ID, and updated in the system—triggering real-time pickup notifications to both the billing party and the shipper.

What Happens At This Step

  • Parcel Count Is Matched With Invoice
  • Jeweller Sign-Off
  • Collection Receipt

What BVC Gives You

Eight Things BVC Does For Jewellery Hallmarking Logistics

Understand what each capability means in simple business language.

01.

Verified Shipment Count At Pickup

Count agreed and signed before anything moves.

BVC counts every parcel with the jeweller before the lot leaves. Both sides agree on the number and sign the collection record. If there is ever a question about what was sent, the answer is already written down.

02.

Tamper-Evident Sealed Packaging

Sealed at the source, opened only at the centre.

The jewellery is packed in a tamper-evident sealed package after collection. If the package is opened before reaching the hallmarking centre, it shows immediately. This protects both the jeweller and BVC.

03.

Lot Separation For Multiple Customers

Each jeweller's pieces travel and stay separate.

When BVC moves jewellery for multiple jewellers on the same day, each customer's lot is packed, labelled, and handled separately throughout the journey. There is no mixing, and the right pieces always go back to the right jeweller.

India Angle And Regulatory Context

The Paperwork That Must Travel With Every Shipment

As jewellery pieces travel through hallmarking, stamping, and certification centres across cities and business points, that makes clear movement and proper records very important.

GST Invoice — Carried On Every Movement

A self-attested copy of the GST e-Invoice must accompany every consignment of gold and silver jewellery, irrespective of the type of movement. Checkpoint officers rely on this document to verify the sender's tax identity before any other paperwork is examined. BVC attaches this to every consignment file by default.

Branch Transfer (Intra-State) — Delivery Challan

For branch-to-branch movement of jewellery within the same state, a Delivery Challan under Rule 55 of the CGST Rules 2017 is the correct document — not a tax invoice, because no supply has taken place. The challan must carry the reason (“branch transfer”), the value, and the identifiers of both branches.

Branch Transfer (Inter-State) — For Stock Transfer Memo (Delivery Challan)

When jewellery is moved between branches across state lines, GST treats it as a taxable supply. A GST Invoice for Stock Transfer under Rule 46 of the CGST Rules 2017 is mandatory, and IGST applies even though no external sale has occurred. BVC structures these inter-state branch transfers with the invoice, the e-way bill, and the matching insurance declaration as one packet.

Delivery Challan

A Delivery Challan under Rule 55 of the CGST Rules 2017 travels with every high value shipment, without exception. It records what is physically leaving the premises, its value, and where it is going — irrespective of whether a sale is happening, whether it is an internal transfer, or whether the piece is going for repair. Customer generates this challan at the point of dispatch for every single shipment.

No Sale Declaration Of Goods — For Marketing Trips And Exhibitions

A No Sale Declaration of Goods accompanies every jewellery shipment to formally state that the movement itself is not a sale transaction. This protects the jeweller from the consignment being mistaken for an undeclared taxable supply at a checkpoint, and it clarifies the intent of the movement for any officer inspecting the goods in transit. BVC attaches this declaration by default to every consignment file.

E-Way Bill — Triggered By Value & Distance Thresholds

On top of the baseline paperwork, an E-Way Bill is required for inter-state jewellery movement above the prescribed threshold, and for intra-state movement in states that have notified e-way bill requirements for precious metals under CGST Rule 138F. BVC tracks which states have notified this requirement and generates the e-way bill wherever applicable.

HSN Code — Mandatory On Every Invoice & Delivery Challan

The correct HSN code must appear on every GST invoice and every delivery challan that moves with a jewellery consignment. Gold jewellery, silver jewellery, coins, bars and studded pieces each have their own HSN classification, and the code dictates the applicable GST rate and the audit treatment of the consignment. A missing or incorrect HSN is one of the most common reasons a jewellery shipment is held up at a checkpoint or flagged in a post-audit review.
