Why Event Jewellery Logistics Is Different

A Trunk Show Only Works If The Jewellery Actually Arrives — And Comes Back Safely

Pop-up trunk shows and private exhibitions are some of the most important sales events a jewellery brand can run. You invite your best clients to an exclusive setting, display your finest pieces, and build relationships that lead to significant sales. But none of that works if the logistics behind it are not completely secure and completely reliable.

Moving high-value jewellery for an event is not like moving regular goods. You are transporting pieces that may individually be worth lakhs or crores of rupees. They are going to a venue that is not your store — somewhere you have less control over the environment, the security, and who has access. And at the end of the event, everything needs to come back in exactly the same condition it left in, with every piece accounted for.

Standard couriers are not equipped for this. They do not carry fine jewellery insurance. They do not have trained handlers who understand how to transport display-quality pieces without damaging them. They do not have 24/7 monitoring or dedicated vehicles. And they almost certainly do not have a structured return logistics process that ensures every single piece is collected, verified, and returned securely after the event. For a jewellery brand, using the wrong logistics provider for a trunk show is not just a logistics risk — it is a business risk.

"The Success Of A Trunk Show Depends On What The Client Sees When They Walk In — A Beautifully Displayed Collection, Every Piece In Place. Getting To That Moment Safely Is The Whole Job."

BVC's jewellery event logistics service covers both pop-up trunk shows — where a brand takes their collection to a hotel, private venue, or client's home for a focused selling event — and private exhibitions, which are larger, invite-only showcases held for selected clients. In both cases, we manage the full logistics journey: secure collection from your store or vault, transit in a dedicated insured vehicle, delivery to the venue, and a structured, documented return of every piece after the event closes.

Approach Comparison

What Usually Goes Wrong — And How BVC Does It Differently

Jewellery event logistics has very specific risks that general transport providers are not built to handle. Here is where problems typically happen — and what BVC does instead.

Insuring high-value jewellery in transit

Common Problem

A brand sends their trunk show collection with a standard courier. The courier's standard liability cover is capped at a small fixed amount — nowhere near the actual value of fine jewellery. If something goes wrong, the brand discovers they are covered for a fraction of their loss. The rest comes out of their own pocket.

BVC Way

Every jewellery movement with BVC carries 100% insurance coverage for the declared value of the collection. Before anything moves, the insurance is in place and the coverage is confirmed. The brand knows exactly what is covered and for how much — with no unpleasant discoveries after an incident.

Keeping the collection secure during the event

Common Problem

A jeweller arrives at a hotel venue for a trunk show. The jewellery is carried in by the store staff. During setup, multiple hotel staff and event workers are moving through the space. Nobody is specifically responsible for monitoring the collection during this vulnerable period. The brand's staff are distracted with display setup and cannot watch everything at once.

BVC Way

BVC's trained crew manages the physical transfer of the collection from the vehicle into the secure display area. We do not hand over and leave — we stay present until the collection is properly secured at the venue. For the transit portion, 24/7 monitoring is active from the moment the collection leaves your premises to the moment it is in your hands again.

Using a vehicle that is right for the job

Common Problem

A regular car or standard van is used to transport the collection. The driver has no training in high-value goods transport. There is no GPS monitoring. The vehicle makes unscheduled stops. The brand has no visibility of where their collection is at any point during the journey. They only know it has arrived when the driver calls.

BVC Way

We ensure secure jewellery movement through GPS-tracked vehicles operated by trained drivers. Routes are pre-assessed and strictly monitored, with geo-fencing in place to enforce adherence to an approved path and flag any deviations. The customer has live, end-to-end visibility from pickup to delivery, with dedicated vehicles available on request.

Accounting for every piece after the event

Common Problem

After a trunk show, jewellery is packed up quickly at the end of a long day. The packing is done in a rush. A few days later, the brand realises a parcel is missing — but nobody can say for certain whether it was left at the venue, misplaced during packing, or something else entirely. The uncertainty is the worst part.

BVC Way

BVC manages return logistics with the same control as the outward journey. At handover, we check parcel condition and verify documentation against outward records, ensuring a secure, tracked return with complete delivery confirmation.

Reaching venues across India reliably

Common Problem

A jewellery brand wants to do a trunk show in a Tier 2 city — Jaipur, Coimbatore, Indore. Their usual local transport provider does not operate there. They patch together a solution using unfamiliar vendors in the destination city — vendors they have never worked with and whose security standards they cannot verify. The brand takes on a risk they did not plan for.

BVC Way

BVC's network covers 12,000+ pincodes across India. A brand based in Mumbai can run a trunk show in Udaipur, Kochi, or Chandigarh with the same logistics standards they would expect for an event in their home city. One provider, one standard, anywhere in India.

How It Works

From Your Store To The Venue — And Safely Back — Step By Step

Each stage of jewellery event logistics has its own security requirements. Click each step to understand what happens and why it matters for a trunk show or private exhibition.

A successful trunk show or private exhibition starts with detailed planning, not on the day of the event. BVC works with the jeweller or brand in advance to understand the full picture — the venue, the collection size and value, the event schedule, access arrangements at the venue, and the return timeline. Every detail that affects security or logistics is planned before we collect a single piece.

This includes preparing the insurance documentation for the specific collection being moved, confirming the vehicle and crew assignment, verifying the venue access arrangements, and creating the outward inventory — the complete list of every piece being transported, with descriptions and declared values. This inventory is the backbone of the entire logistics operation and the reference point for the return.

What Happens At This Stage

  • Vehicle And Crew Assigned
  • Venue Access Arrangements Confirmed
  • Event Brief And Venue Assessment
  • Insurance Documentation Prepared
  • Outward Inventory Compiled And Confirmed

What BVC Brings

Six Things We Do That Make Jewellery Event Logistics Work

Understand what it means in practice for jewellery brands, designers, and private exhibition organisers.

01.

Fully Insured Transport

100% coverage — not a fraction of the collection's value.

Every jewellery movement with BVC carries comprehensive insurance coverage for the full declared value of the collection. This is not standard courier liability — it is fine jewellery transit insurance that actually covers what the pieces are worth. Before anything moves, the insurance is confirmed. The brand knows exactly what is protected.

02.

Dedicated Vehicle (On Request)

Your collection travels alone — in a vehicle assigned specifically for it.

A dedicated vehicle can be deployed exclusively for your collection upon request. The shipment travels without being combined with other consignments, with a trained driver handling high-value goods and a pre-planned, closely monitored route ensuring secure movement throughout.

03.

Expert Jewellery Handling Crew

Trained to handle display-quality jewellery — not just boxes.

BVC's crew for jewellery events is trained specifically in the handling and transport of high-value display pieces. They understand how to pack jewellery correctly, how to handle trays and display cases without damaging delicate pieces, and how to manage the physical security of a collection at a venue. This is not a general delivery team — it is a specialist crew.

India Angle And Regulatory Context

The Paperwork That Must Travel With Every Shipment

Jewellery pieces move across pop-ups, trunk shows, and private exhibitions in multiple locations. That makes clear movement and proper records very important.

GST Invoice — Carried On Every Movement

A self-attested copy of the GST e-Invoice must accompany every consignment of gold and silver jewellery, irrespective of the type of movement. Checkpoint officers rely on this document to verify the sender's tax identity before any other paperwork is examined. BVC attaches this to every consignment file by default.

Branch Transfer (Intra-State) — Delivery Challan

For branch-to-branch movement of jewellery within the same state, a Delivery Challan under Rule 55 of the CGST Rules 2017 is the correct document — not a tax invoice, because no sale has taken place. The challan must carry the reason (“branch transfer”), the value, and the identifiers of both branches.

Branch Transfer (Inter-State) — For Stock Transfer Memo (Delivery Challan)

When jewellery is moved between branches across state lines, GST treats it as a taxable supply. A GST Invoice for Stock Transfer under Rule 46 of the CGST Rules 2017 is mandatory, and IGST applies even though no external sale has occurred. BVC structures these inter-state branch transfers with the invoice, the e-way bill, and the matching insurance declaration as one packet.

Delivery Challan

A Delivery Challan under Rule 55 of the CGST Rules 2017 travels with every high value shipment, without exception. It records what is physically leaving the premises, its value, and where it is going — irrespective of whether a sale is happening, whether it is an internal transfer, or whether the piece is going for repair. Customer generates this challan at the point of dispatch for every single shipment.

No Sale Declaration Of Goods — For Marketing Trips And Exhibitions

A No Sale Declaration of Goods accompanies every jewellery shipment to formally state that the movement itself is not a sale transaction. This protects the jeweller from the consignment being mistaken for an undeclared taxable supply at a checkpoint, and it clarifies the intent of the movement for any officer inspecting the goods in transit. BVC attaches this declaration by default to every consignment file.

E-Way Bill — Triggered By Value & Distance Thresholds

On top of the baseline paperwork, an E-Way Bill is required for inter-state jewellery movement above the prescribed threshold, and for intra-state movement in states that have notified e-way bill requirements for precious metals under CGST Rule 138F.

HSN Code — Mandatory On Every Invoice & Delivery Challan

The correct HSN code must appear on every GST invoice and every delivery challan that moves with a jewellery consignment. Gold jewellery, silver jewellery, coins, bars and studded pieces each have their own HSN classification, and the code dictates the applicable GST rate and the audit treatment of the consignment. A missing or incorrect HSN is one of the most common reasons a jewellery shipment is held up at a checkpoint or flagged in a post-audit review.

  • Jewellery pop-ups, trunk shows, and private exhibitions are temporary sales and showcase events that allow brands to present curated collections, meet customers, test new markets, and drive sales outside their permanent retail stores.
